商务英语书信写作常用句子

在职场里,商务英语书信就像我们的“第二张名片”。不管是给客户发邮件、给合作方写函件,还是给领导汇报工作,一句得体的表达能拉近距离,一个不当的用词却可能让对方皱眉——我刚工作时就踩过坑:给国外客户写跟进邮件,开头用了“Hey John”,结果被领导提醒“初次联系用‘Dear Mr. Smith’更显尊重”;还有次催款时写“Please pay the bill ASAP”,客户直接回“Your tone is too pushy”,差点丢了单子。

一、开头怎么写?别让第一句就“踩雷”

很多人写开头要么太生硬(“This is to inform you...”),要么太随意(“Hi,about the project...”),其实开头的核心是“礼貌+清晰目的”。不同关系、不同场景,开头的表达天差地别。

1. 初次联系:别用“Hi”,先“亮身份+说目的”

痛点:给陌生客户或合作方写第一封邮件,怕太正式显得疏远,又怕太随意显得不专业。

常用句:

二、正文怎么说?不同场景“公式化套用”

正文是商务书信的“核心战场”,能不能让对方明白你的需求、接受你的观点,全看这部分。这里整理了5个高频场景,每个场景都给“万能句型+示例”,直接填空就能用。

场景1:请求协助——别用“Can you...”,换成“Would you mind...”

痛点:直接说“Can you send me the data?”显得命令式,对方可能不情愿配合。

核心逻辑:先感谢对方可能的帮助+清晰说明需求+给出截止时间(如果需要)。

常用句:

1. 期待对方回复:明确“下一步”

常用句:

“Looking forward to your feedback/response. Please let me know if you have any questions in the meantime.”

(期待您的反馈/回复。如有任何问题,请随时告知。)

“I’ll follow up with you by [Date] if I haven’t heard back, but feel free to reach out sooner if you need anything!”

四、避坑指南:这些“小细节”正在拉低你的专业度

写完句子和正文,别忽略这些“隐形扣分点”——我见过很多人内容写得不错,却因为标点、缩写、附件提示这些小问题,让对方觉得“不专业”。

1. 标点符号:商务书信少用“感叹号”

感叹号在商务场景中容易显得情绪化,除非是特别开心的事(如“Congratulations on the launch!”),否则尽量用句号。比如:

“Please send the report ASAP!”(太急躁)

“Please send the report at your earliest convenience.”(更礼貌)

2. 缩写:正式书信别用“can’t”“I’m”

口语化缩写(can’t, I’m, it’s)在商务书信中显得随意,正式场合建议用完整形式:

3. 附件提示:别说“See attachment”,换成“Please find attached”

“See attachment”太口语化,正式表达可以说:
